Starbucks

Meeting Details:

To complete the report with final touch-up being done.
Objective of meeting
  • Completion of all unfinished sections
  • Completion of Executive summary
  • Final touch-up of report.

This meeting was essential to ensure that all loose ends to the report were done and all corrections of errors are completed before the submission to our advisor. This meeting would serve to complete our report and tidying up the report. The executive summary was also done in this meeting to complete the report.


My Reflection:

This meeting provided us the opportunity to fine tune the different aspect of the report with amendments being made and improve the quality of the report as a whole. Mistakes that were pointed out by Christine were also amended.

The team did some research on how to come out with an Executive summary as most of us do not have a clear idea on how to come out with an Executive summary. After which, the executive summary was crafted and edit by the team. This is a crucial section in which the team try to ensure that it is as short as possible. We read from the net that the executive summary should be short and sweet, easy to read and comprehend. This is to ensure that it triggers the interest of the reader to read the rest of the report. Thus the team manage to craft a short Executive summary in-which briefly describes what is done in the report.

The team also manage to tie up all the loose ends in the report like for example the literature review. We were able to complete the whole report and ensure that it is ready for a 2nd proof read before submission.

All in all, a fruitful meeting for the team so as to complete the whole report and be ready for submission as predicted.

Meeting with Christine to proof-read first draft..

Meeting details:

This meeting was to get the advisor’s view on our report thus far and understand what are her concerns and expectations for the team FYP report.
Objective of meeting:
  • Identify errors within the FYP report
  • Fine tune the FYP report
  • Understand advisor point view of team’s report first draft

This would help us by identifying what we lack in the first draft and aid us in fine tuning the report. The first draft is still raw and this step of meeting with the advisor would give us an idea of what we are suppose to change and add to beef up the report and also fill in what is missing in the report.

My Reflection:

This meeting was fruitful as it gave us an idea what is expected from us by the advisor and also her opinions on the team report. This was the first draft of our report and the content of the report is bound for changes and amendments.
I feel that the team was efficient in the meeting as the advisor only had one hour for the team and we managed to take down the points that she pointed out and gave her quick suggestions on how to solve the issues. Working together, the team manage to end the meeting with all the objectives met and also had an idea of what amendments should be done after the meeting.
This meeting is a crucial step towards completing the report. This would help us in submitting a report that both the team and the advisor is satisfied with and ensure that we submit a good report for grading.

Meeting details

Objective of meeting:
- Check through report to see what is missing
- Complete individual task
- Discuss how conclusion should be done

This meeting was set to provide the team a place to complete their individual task of the report and also to check through the report to see if we miss out any of the sections. The team would also discuss the different elements required in the conclusion for the report. The team decided that it’s going to split the task among the individual sections and complete it based on 2 points per section to be compiled for the conclusion section.

My reflection:

I feel that the meeting was essential for the team-members to complete the different task allocated to them. This is evident in the previous few meetings as well. The team manage to accomplish majority of the report. The meeting in school provided us the platform to ask each other how to do certain things when we are unsure and we were able to help each other in completing their tasks.
This meeting helped us identified what is missing from the report and also gave us the opportunity to device a method to complete the task and split the job up. I feel than having team-mates by your side really aids you in completing the task faster although at times it acts as a form of distraction as well.

The meeting was supposed to provide the team a place to complete the tasks assigned to them for the report. This meeting would provide the team time and opportunity to complete their task. It is also a platform for communication and discussion.

My reflection:

I think this meeting shows the importance of working together as we needed to aid each other in doing our work. Just like when i helped Xiu Hui with her part in the report’s literature review section. The section is tasked to the both of us and this is the only few chances that we get to meet up and complete the work. We split our literature review notes to come out with the analysis of it.
This meeting shows the importance of working together as a team this provide us an opportunity to communicate with each other and complete those task that we are suppose to do together and also be able to help each other if they do not know how to move on or when they are stuck.

  • Discuss on things that are unclear

This meeting serve as a avenue in which the team can sit down and do their allocated tasks and discuss any doubts that each team members have in mind when doing the allocated task. This is also an opportunity for those who are task to share the work with another team member to sit down and work together in a team.


My Reflection:

I think this meeting gave me the opportunity to work with Xiu hui on the Literature review that we are tasked to handle. It was an effective meeting as we were able to help each other understand what the book is talking about and also device a method of summarizing and presenting what is written in the book into the report.

In this meeting, we also decided on how to apply it back to our topic. We decided to link it straight back to the topic right after each section and i feel it is a good idea as it is direct application after the theory.

The meeting was rather effective as a whole for the team and especially for the two of us. We were able to help each other when they need help. Sometimes, when we do things alone, although we do things faster but when we really need some help, it is always better to have a team-mate there to help you.

  • Discuss on the tasks that are not assigned e.g. Roles & responsibilities

The purpose of the meeting is to come together and complete our individual task together and when faced with a problem, we would be able to discuss it with the other team-mates. This meeting was also a chance for us to discuss on sections that are not allocated to any members of the team. This gave us the opportunity to discuss and complete them.

My Reflection:

I think this meeting is rather fruitful because it reinforced the idea of the structure of the report. I did the basic structure of the report so as to allow my team-mates to have an idea of what is needed. I also included some of the tasks that were not assigned like the Roles & Responsibility section as well as the topic definition plus the strategies section.

We were also able to help Ally with her analysis of the public survey. She met with some problems compiling and we were able to help her solve some of her queries in the meeting. The meeting was rather important for the team as we are starting the report but we are still not 100% sure on what we are suppose to do and this meeting serve as a clarification platform for most of us. This gave us the opportunity to discuss and learn how we are suppose to go about doing the report.

  • Discuss how to come out with report (structure)

This is a crucial meeting before we start writing our report. This is because we would need to come out with the structure of our report and also what we want to include in the report in this meeting. We also decided on how to split the report and who would be in-charge of which section.

My Reflection:

In this meeting, we manage to get the most crucial part of this report writing done which is the structuring and splitting of work. I was handed the introduction and roles and responsibility section. My main role in this report writing is to help out in wherever i am needed and oversee the whole progress of the team. Basically i would be helping Xiu hui with her literature review, Rayson with his result analysis of sponsors interview and tieing up those loose ends.

This meeting helped me in understanding how i am suppose to play my role as a leader in the report and ensure that the team is going to complete the report on time. I would be contributing by helping in any sections. Basically they are incharge of the sections and others are suppose to help as and when help is needed and my main responsibility is to monitor and help out both rayson and Xiu hui.

Meeting Details:

Objective of meeting:
  • Analyze public survey

This meeting is basically conducted to analyze one of the most tedious work of all, the analysis of public survey. With 100 surveys to analyze, we keyed in the inputs with the help of SPSS and discussed on the different questions and how we can make use of those information. In this meeting, we also talk about how we can show the organizer about what the response from the attendees showed and compare it with the sponsors' expectation later on.

My reflection:

Basically for this meeting, i feel it is quite fruitful as we were able to discuss important issues that we gather from the public survey. We were able to device methods in which we can analyze and link back to the sponsors' expectation. We also discussed how to put all those information into charts so as to make it clearer for the report and easier to interpret. We also had some brief analysis of what the numbers showed and noted them down in point form so as to be elaborated in the report in future.

In this meeting, i was able to help my team-mate understand how we can show the numbers collected clearly on charts and also express my views on some of the information that we have gathered and how we can link back to the sponsors expectation as i could remember what the sponsors said vividly.

Meeting October 29

Meeting Details:

Objective of meeting:
  • Skeleton of the report
  • What to include in the report?

In the meeting over at Hip diners, we discussed on the different things that we can include in our report and also how to beef up the report at the same time. We discussed as well how we can structure the report briefly with the advisor. This meeting helped ensure that the report would be up to the expectation of the advisor in-terms of the sections included in the report. There would be another meeting to finalize the structure and also evaluate what else we can add to the report on a later date.

My reflection:

I feel that this meeting helped us understand what does the advisor expect to see in the report and also show her our idea for the report and see if she agree with our vision of the report. This meeting help us craft the basic structure of the report and we decided in the meeting that we would need to add more things into the structure and thus a meeting would be required another day to see what we can add into the report with reference to previous FYP reports to see if we had missed out anything.

The team manage to craft out the basic structure of the report and also provide their idea of what should be included in the report. Everyone contributed by giving ideas for the report structure draft and we were able to have an idea of what we are suppose to do and what is supposed to be included in the report.

Meeting October 15

Meeting Details:

Objective of meeting:
  • Draft out a brief skeleton for report
  • discuss what are some of the basic elements of report

This meeting is set to craft out a skeleton for the report so as to show the advisor and seek her opinions before starting with report. This meeting gave us the time to prepare for the meeting with the advisor. This would help give us a smoother meeting with the advisor.

My reflection:

I think this meeting help us have a good idea of what we want in the report and also how we want the report to look like. The basic structure is there and we just have to add in more sections that we are likely to miss out if we spot any. I believe the meeting helped us by giving the team confidence of what is up ahead and what is needed to be done.

I believe the meeting gave me a better idea of where the team currently is and the progress of the team. It also gave me an idea of what is installed in future for the team and whether we need to push for more meetings. I was able to contribute some points to the structure as i vividly remembered what was included in my previous FYP report. Gave my suggestions on the board and everyone began to add on to the suggestion that i had and how it can be improved. Good team effort that i see from the meeting and we manage to have a smooth and effective meeting to draft out the rough structure of the report.

FYP Meeting 5

Meeting Details:

This meeting is conducted after the site visit and on-site surveys are done.

Objective
  • To perform data entry for both public and sponsors survey
  • Discuss next course of action after Singapore beer festival
  • To set a date to perform research for literature review at national library

This meeting is essential as we discussed on items that need to be finalize before we can start our report writing. We need to understand how we are going to go about compiling the datas that we have collected and make use of them to analyze and present it in our report.


My Reflection:

I think this meeting helped us focus on how we are going to go about splitting the task up and complete the compilation of the survey. It was rather fruitful because we decided on how we can go about doing the compilation of the public survey with SPSS software. Suggested by Xiu hui and Ally(Mei Ping), they had experience using that software as they had used it before in last semester's FYP. We learnt how to use the software and started to compile the results that we had collected.

As for the sponsors survey, it was mostly open ended questions and thus SPSS software would not work. I took up the task of typing down all the answers that were discussed during the interview.

Crucial steps ahead of writing the report, we also discuss on some ideas on how we can approach the next step of the project. We also realised that we need to photocopy some notes from books that we have found in the national library to perform our literature review thus we set a date to go down to the national library and complete this task.

Event site Visits day 1 - 3

Event Site Visit day 1:

Objective of visit:
  • Conduct public survey
  • Meet up with Matt Bennette the organizer to show him our public survey form for approval.

The day's visit was to clear our public survey form with the organizer and get approval to start the public survey. That day was solely dedicated to the collection of public survey and the whole team went down to the event site to participate in the survey collection activity.


My reflection:

Basically the team was able to collect 100 public survey and meet our own target. We had limited time from the organizer to collect the survey as the organizers had their own public survey going around as well. Good performance by the team in collecting the targeted amount of survey in the limited amount of time. Crediting Xiu Hui as she collected the most number of survey for us while the others did well too collecting alot of surveys as well.

The public survey is not an easy task as we had limited amount of time. At the same time attendees there are either friendly or that they are drunk. Some attendees did not want to do the survey and thus we had to look for others. It is a good experience for the team and i can see alot of team effort being put into the visit. Everyone were tired but did their best to collect the targeted amount of survey.


Event Site Visit day 2:

Objective of visit:
  • To conduct interview with major sponsors of Singapore Beer Festival
  • To meet up with Matt Bennette, Singapore beer festival organizer to get approval for interviewing the sponsors.

This visit is crucial to the FYP project as we would hit on the most important part of the project, the sponsors' side of the picture in sponsorship. This would help us find out their expectation for sponsoring the event and also whether they are happy with the things that are provided to them by the organizer.

My reflection:

Rayson and I went to the site first before the rest as they had Understanding Tests. We went ahead to meet up with Matt Bennette, Singapore Beer Festival Organizer, to get his permission to start our interview with the sponsors.

In this visit, we managed to interview afew of their major sponsors in the likes of Brewerkz, Carlsberg and Prestige. The sponsors were generally friendly and willing to share things with us. There are also limitations like confidential information that they are not willing to share which we understand as industry secret and therefore a limitation to our report infuture as well. We manage to speak to the representative of the 3 sponsors and acheived what we set out for the day.


Event Site Visit day 3

Objective of visit:
  • To conduct interview with another major sponsor AMEX

This visit solely to conduct the interview with AMEX representative who was not around on day 2 of the event and thus the trip down on day 3 to conduct that interview. The last sponsor that the organizer agreed to allow us to conduct interviews on and after-which we are done for the event.


My reflection:

I think this visit is a very short one as for the past few days, the team have been there at the event till late and this would be a short meeting as we just needed to speak to one last sponsor. The team spent some time searching for the sponsor's representative, just like what we did the previous day as they were moving aroudn the event vicinity.

The team manage to get hold of her and interviewed her. We managed to interview her and she provided us with some insights on why AMEX is there to sponsor the event which of course one of the reason is due to the fact that Singapore beer festival is first of its kind held in Singapore.

  • Discuss on objective of survey
  • Crafting of public survey question
  • Crafting of sponsor survey question

This meeting is to provide us with the understanding of why is there a need to conduct surveys with the sponsors and the attendees. This meeting was also conducted to facilitate the crafting of survey questions that is required to be asked. This is closely knitted with the objective of the survey and also how we can link it back to what we might get out of the sponsor.

My reflection:

I think this meeting is rather important before the site-visit to Singapore beer festival. We crafted the questionnaire that we need inorder to conduct the interviews with the sponsors and survey with the attendees.

The questions to be asked is rather important to the project as we would need to depend on the result that we had gathered through these interviews and surveys to provide an analysis to the sponsorship ROI gathered in the event for the sponsors.

In the meeting, i manage to contributes to the questions as i had a list of questions prepared before the meeting and so does my team-mates. We were also able to come out with questions on the spot.

Library visit + meeting with organizer

Library Visit Details:

Objective of meeting:
  • Meeting with Matt Bennette (organizer)
  • Visit library to get the literature review books
  • Read the books to find out what information are relevant (all books are reference books)

This meeting was held to understand what the organizer's view on sponsorship is and also get to know who are the sponsors that are sponsoring the event. The visit to the library was also due to the need of literature review and we did some research before we headed down with some information in our head of where to look for the books. This step is required because we needed some professional resources to back our findings from the event itself.

My reflection:

The meeting with the organizer was fruitful in which we were able to understand what they are providing for the sponsors and also who are the sponsors that are sponsoring their event. We also understood why they did not have much logos about the sponsors.

After which four of us spent some time over at the library to look for some books while Dennis headed for work.

Personally, i think this visit to the library is essential because we have to understand what sponsorship is about and why sponsors sponsor events. In this visit, we manage to get afew books and we managed to photocopy them. We were able to get some information about what is sponsors expectation and also why does sponsors sponsor an event.

I managed to check the internet and found out where the books were located. With the information in mind, we were able to get to the books quickly and read them to find out which chapter was important and needed.

We also listed down some of the questions that we would need to ask Matt during the meet-up.



My Reflections:

We are all very happy that we receive positive reply from the organizer regarding the surveying of sponsorship returns. We decided that we would have to have a strategy before we head for a meeting with Matt the Singapore Beer Festival organizer. We sat down as a team with our advisor to discuss on some of the objective of the meet-up and also what we want to find out from him.

This was a fruitful meeting because from my past experience, it is always better to strategize before meeting the interviewee as you would tend to be less anxious and would be able to get what you want. From experience, most of the time, we would miss out on our objective if we do an impromptu interview and therefore this meeting served us a high purpose.

The team was cautious about the meet-up and feel that there was definitely a need to meet-up to ensure that we know what we want to do when we conduct the interview. This would definitely prove to be a good strategy by itself during the interview.

A very short but crucial meeting to craft the e-mail to be sent to the event organizer to gain permission to survey on the event and also to come out with our confirmed blog link.

The team decided on this blog link fyp2team8-“our NAME”.blogspot.com

We crafted the e-mail to the organizer of Singapore Beer Festival. Everyone wreck their brains to think of the ideal way of structuring the e-mail as we knew the importance of the e-mail. The e-mail would determine whether we would be able to continue working on this project or that we would have to change to another event. With the high stake, the team was extremely focus on the crafting of the mail and took some time completing it.


My Reflection

The team was focused during the meeting and was able to provide suggestions as and when we are stuck. We crafted the e-mail together as a team as we know how high a stake this e-mail carries and we knew that we need to focus.

Good team effort in crafting the e-mail. Dennis was the main communication point and he came up with a draft before the meeting started. The team had a look at the draft and feel that we should re-craft it as Singapore Beer Festival is a fun event and we feel we should not be too formal in the approach. The team thus tried to think of ways to craft the e-mail in a casual but respectful way.

I really appreciate the team effort in coming up with the e-mail as everyone knows its importance. This shows that the team knows when we have to get serious and when we have to really be focused. A great sense of maturity within the team.
